• Visitors who browse our website or contact us.
• Gym owners / administrators ("Clients") who use Fitness Manager to run their business.
• Members and staff of a Client whose data is entered into the Services by that Client.

Where a Client enters data about its own members or employees, the Client decides why and how that data is used, and we process it on the Client's behalf. Members and staff should contact their gym for requests about their data.

a) Information you give us

• Name, phone number, email address, business/gym name, address and city.
• Account details such as username and password (stored in encrypted/hashed form).
• Messages, enquiries and support requests you send us.

b) Information entered into the Services by Clients

• Member details: name, contact details, date of birth, gender, photo, emergency contact, membership plan, start and expiry dates, attendance and visit records.
• Fitness-related information, such as body measurements, goals, diet or workout plans, if the Client chooses to record them.
• Payment records: receipts, invoices, amounts, payment mode and outstanding balances. We do not store full card, UPI PIN or net-banking credentials; online payments are processed by third-party payment providers.
• Employee details: name, contact details, role, working hours and attendance.

c) Information collected automatically

• Device and browser type, IP address, pages visited, time spent, referring pages, and approximate location derived from IP.
• Cookies and similar technologies (see Section 8).

• To create and manage accounts and provide the Services.
• To process payments, generate receipts and send renewal, expiry or payment reminders (via SMS, email or WhatsApp where permitted).
• To respond to enquiries and provide customer support.
• To improve, secure and troubleshoot the website and Services.
• To send service updates and, where you have consented, promotional communication. You can opt out at any time.
• To comply with legal obligations and enforce our terms.

We process personal data on the basis of your consent, to perform our contract with you, or for legitimate uses permitted by law. You may withdraw consent at any time by contacting us, subject to legal or contractual restrictions. Withdrawal may affect our ability to provide certain Services.

We do not sell your personal information. We may share it only with:

• Service providers that help us operate, such as hosting, cloud storage, payment gateways, SMS/email/WhatsApp providers, and analytics tools, under confidentiality obligations.
• The relevant Client (gym) when you are that Client's member or employee.
• Authorities, when required by law, court order or to protect rights, safety or property.
• Successors, in case of a merger, acquisition or sale of business, with notice to you where required.

We keep information for as long as your account is active or as needed to provide the Services, and afterwards only as required for legal, accounting, dispute-resolution or security purposes. When data is no longer needed, we delete or anonymise it.

We use reasonable technical and organisational safeguards, including encrypted connections (HTTPS), access controls, password hashing and regular backups. No system is completely secure, so we cannot guarantee absolute security. Please keep your login credentials confidential and notify us immediately of any suspected unauthorised access.

We use cookies to keep you signed in, remember preferences, and understand how the site is used. You can control or delete cookies through your browser settings; disabling them may affect some features.

Subject to applicable law, you may:

• Access the personal information we hold about you.
• Ask us to correct inaccurate or incomplete information.
• Ask us to delete your information.
• Withdraw consent or object to certain processing, including marketing.
• Nominate another person to exercise your rights in the event of death or incapacity.
• Raise a grievance about how your data is handled.

To exercise these rights, email us at the address in Section 13. We will respond within a reasonable time and in accordance with law.

Our Services are intended for businesses and adults. We do not knowingly collect personal data of anyone under 18 without verifiable parental or guardian consent. Where a gym records data of a minor member, the gym is responsible for obtaining that consent. If you believe a child's data has been provided to us without consent, contact us and we will delete it.

Our website may link to third-party sites. We are not responsible for their content or privacy practices, and we encourage you to read their policies.

We may update this Policy from time to time. The "Last updated" date above shows the latest version. Significant changes will be notified on the website or by email. Continued use after changes means you accept the updated Policy.
